Job Creation Issues

Cannot Create New Job

Symptoms: Error when trying to create a job, or "New Job" button unresponsive

Solutions:

  1. Refresh the page and try again
  2. Check your internet connection
  3. Verify you're logged in
  4. Clear browser cache
  5. Try a different browser

Customer Required Error

Symptoms: Can't save job without selecting customer

Explanation: Every job must be linked to a customer. This ensures proper organization and allows financial tracking.

Solutions:

  1. Select an existing customer from the dropdown
  2. Create a new customer first, then create the job
  3. Use the "Create Customer" option in the job form if available

Job Name Already Exists

Symptoms: Warning about duplicate job name

Note: WorkSnap allows duplicate job names, but using unique names helps you find jobs later.

Solutions:

  • Add customer name or address to make it unique
  • Include date or project phase
  • Example: "Kitchen Remodel - Smith - Phase 2"

Job Editing Issues

Cannot Edit Job

Symptoms: Edit button missing or changes won't save

Possible causes:

  • Network connectivity issue
  • Session expired
  • Browser issue

Solutions:

  1. Refresh the page
  2. Log out and log back in
  3. Check internet connection
  4. Try a different browser

Changes Not Saving

Symptoms: Edits disappear after saving

Solutions:

  1. Check for validation errors (red highlighted fields)
  2. Ensure all required fields are filled
  3. Check your internet connection
  4. Try saving smaller changes incrementally
  5. Refresh and try again

Job Status Issues

Cannot Change Status

Symptoms: Status won't update when changed

Solutions:

  1. Refresh the job page
  2. Try changing via Edit mode instead of quick change
  3. Check for unsaved changes elsewhere on the page
  4. Verify you have permission to modify jobs

Job Shows Wrong Status

Symptoms: Status doesn't match actual job state

Solutions:

  1. Manually update the status
  2. Check if another team member changed it
  3. Review activity feed for status history

Linking Issues

Symptoms: Job doesn't appear in invoice dropdown, or link fails

Solutions:

  1. Verify the job exists and isn't deleted
  2. Check that job and invoice are for the same customer
  3. Refresh and try again
  4. Create invoice from within the job view

Symptoms: Unable to associate estimate with job

Solutions:

  1. Ensure job is created first
  2. Verify customer matches
  3. Use the link option in job details
  4. Or select job when creating/editing estimate

Linked Documents Not Showing

Symptoms: Invoices or estimates don't appear in job view

Solutions:

  1. Refresh the job page
  2. Verify the documents are linked (check document details)
  3. Allow a moment for data to sync
  4. Re-link if necessary

Wrong Financial Totals

Symptoms: Estimated, invoiced, or paid totals seem incorrect

Explanation: These totals are calculated from linked documents:

  • Estimated: Sum of linked estimates
  • Invoiced: Sum of linked invoices
  • Paid: Sum of payments on linked invoices

Solutions:

  1. Review linked estimates and invoices
  2. Check for missing links
  3. Verify invoice amounts are correct
  4. Check payment records on invoices

Scheduling Issues

Job Not Appearing on Calendar

Symptoms: Scheduled job doesn't show in calendar view

Solutions:

  1. Verify the job has a Scheduled Start time set
  2. Check you're viewing the correct date range
  3. Check calendar filters (status, team member)
  4. Refresh the calendar view

Wrong Time Displayed

Symptoms: Job shows at incorrect time on calendar

Solutions:

  1. Verify your organization's timezone setting (Settings > Organization)
  2. Check the scheduled times in job details
  3. Re-save the job to refresh the data

Cannot Reschedule Job

Symptoms: Unable to change job schedule times

Solutions:

  1. Open job and edit schedule fields directly
  2. Ensure end time is after start time
  3. Check for form validation errors
  4. Save changes and verify they persist

Calendar Sync Issues

Google Calendar Not Syncing

Symptoms: Jobs not appearing in Google Calendar

Solutions:

  1. Verify Google Calendar is connected (Settings > Integrations)
  2. Check the job has scheduled times set
  3. Allow a few minutes for sync
  4. Try disconnecting and reconnecting Google Calendar
  5. Verify you're checking the correct Google calendar

Duplicate Calendar Events

Symptoms: Same job appears multiple times in Google Calendar

Solutions:

  1. Delete duplicate events directly in Google Calendar
  2. The correct event will remain synced
  3. If persists, disconnect and reconnect integration
  4. Contact support if duplicates keep appearing

Calendar Events Not Updating

Symptoms: Changes in WorkSnap don't reflect in Google Calendar

Solutions:

  1. Allow time for sync (up to a few minutes)
  2. Verify integration is still connected
  3. Make a small edit and save again
  4. Check Google Calendar's sync status

Photo Issues

Cannot Upload Photos

Symptoms: Photo upload fails or hangs

Solutions:

  1. Check file size (max 25 MB per photo)
  2. Verify file format (JPG, PNG, HEIC)
  3. Check internet connection
  4. Try a smaller/compressed photo
  5. Try uploading one photo at a time

Photos Not Displaying

Symptoms: Uploaded photos show as broken or missing

Solutions:

  1. Refresh the page
  2. Check internet connection
  3. Wait a moment for processing
  4. Try viewing in a different browser

Cannot Delete Photos

Symptoms: Delete option not working

Solutions:

  1. Refresh and try again
  2. Verify you have permission
  3. Try from a different browser

Time Tracking Issues

Timer Not Starting

Symptoms: Start Timer button doesn't respond

Solutions:

  1. Check if another timer is already running
  2. Refresh the page
  3. Stop any existing timer first
  4. Check internet connection

Time Entry Not Saving

Symptoms: Manual time entry fails

Solutions:

  1. Verify all required fields are filled
  2. Check date format is correct
  3. Ensure hours/minutes are valid numbers
  4. Refresh and try again

Time Not Linking to Invoice

Symptoms: Time entries don't appear when adding to invoice

Solutions:

  1. Check time entries are marked as "unbilled"
  2. Verify entries are for the correct job
  3. Use "Add Time Entries" feature from invoice
  4. Manually add as line item if needed

Notes Issues

Cannot Add Notes

Symptoms: Note doesn't save or add button unresponsive

Solutions:

  1. Ensure note content isn't empty
  2. Check internet connection
  3. Refresh the page
  4. Try a shorter note first

Notes Not Appearing

Symptoms: Added notes don't show in activity

Solutions:

  1. Refresh the job page
  2. Scroll through activity feed
  3. Check date filters if applicable
  4. Re-add the note if missing

Search and Filter Issues

Cannot Find Job

Symptoms: Known job doesn't appear in list or search

Solutions:

  1. Clear all filters (status, customer, date)
  2. Search by exact job name
  3. Search by customer name
  4. Check if job was deleted or is in another status
  5. Verify you're in the correct organization

Filters Not Working

Symptoms: Filter selections don't change results

Solutions:

  1. Refresh the page
  2. Clear filters and reapply
  3. Try a different browser
  4. Check if no jobs match the criteria

Deletion Issues

Cannot Delete Job

Symptoms: Delete option missing or fails

Explanation: Jobs with linked invoices or estimates may have restrictions.

Solutions:

  1. Unlink documents before deleting (if that's your intent)
  2. Consider marking as Cancelled instead of deleting
  3. Verify you have delete permissions
  4. Check if job has payments that need handling first

Accidentally Deleted Job

Symptoms: Needed job was deleted

Note: Deleted jobs are typically permanently removed.

Prevention:

  • Use "Cancelled" status instead of delete for historical records
  • Confirm deletion prompts carefully

Recovery:

  • Contact support immediately
  • Some data may be recoverable depending on timing

Performance Issues

Job Page Loading Slowly

Symptoms: Job details take long to load

Solutions:

  1. Check internet connection
  2. Job may have many photos—wait for them to load
  3. Try loading on different network
  4. Clear browser cache

Job List Slow to Load

Symptoms: Jobs list takes long to display

Solutions:

  1. Use filters to reduce results
  2. Clear browser cache
  3. Check internet connection
  4. Try a different browser

Limitations

Job Feature Limitations

Recurring jobs Create new jobs manually (no auto-repeat)

What Jobs Cannot Do

Jobs are containers for organizing work. They don't:

  • Have their own line items (use linked estimates/invoices)
  • Generate invoices automatically
  • Auto-complete based on payments
  • Sync bidirectionally with external calendars

Common Questions

Why can't I delete a job?
Jobs with linked invoices, estimates, or payments cannot be deleted to maintain records. Change status to Cancelled instead.
