Calendar views and navigation

At a Glance

  • Access your calendar from Schedule or Calendar in the main navigation
  • Switch between Day, Week, and Month views to plan at different scales
  • Filter by status, team member, or customer to focus on specific jobs

Using the Calendar

View and manage your schedule with the WorkSnap Pro calendar.

Accessing the Calendar

Open your calendar:

  1. Click Schedule or Calendar in the main navigation
  2. Your scheduled jobs appear on the calendar

Calendar Views

WorkSnap Pro offers multiple calendar views:

Day View

See a single day's schedule:

  • Detailed hour-by-hour timeline
  • Each job shows as a time block
  • Best for planning a specific day
  • See gaps in your schedule

Week View

See an entire week at a glance:

  • Monday through Sunday (or Sunday through Saturday)
  • Jobs appear as blocks on each day
  • Great for weekly planning
  • Identify busy vs. light days

Month View

See the full month:

  • Overview of all scheduled jobs
  • Jobs shown as indicators on each day
  • Best for long-term planning
  • Spot scheduling patterns

Switching Views

To change your calendar view:

  1. Look for view toggle buttons (Day/Week/Month)
  2. Click your preferred view
  3. Calendar updates immediately

Moving Forward/Back

  • Use arrow buttons to move to next/previous period
  • Click Today to jump to current date
  • Click a specific date to navigate there

Date Picker

  1. Click the displayed date/month
  2. Select a date from the popup calendar
  3. View jumps to that date

Reading the Calendar

Job Blocks

Each scheduled job appears as a block showing:

Element Information
Job name Title of the job
Time Start and end times
Color May indicate status or type
Customer Customer name (if space permits)

Time Slots

  • Calendar shows time slots (typically hourly)
  • Jobs span their scheduled duration
  • Overlapping jobs may stack or show warning

Interacting with Jobs

Viewing Job Details

  1. Click on a job block
  2. View quick summary popup
  3. Click again or View Details to open full job

Quick Actions from Calendar

Depending on your view, you may be able to:

  • Click a job to see details
  • Drag to reschedule (if supported)
  • See job status at a glance
  • Access job address for navigation

Calendar Filters

Narrow down what you see:

Filter by Status

Show only certain job statuses:

  • Active jobs
  • All statuses
  • Exclude completed/cancelled

Filter by Team Member

If you have a team:

  • View all team schedules
  • View specific team member's schedule
  • See who's available

Filter by Customer

Show jobs for specific customers only.

Color Coding

Jobs may be color-coded by:

Color Basis Meaning
Status Active (green), On Hold (yellow), etc.
Job type Different colors for different work types
Team member Each person has a color

Check your settings for color coding options.

Identifying Schedule Gaps

Use the calendar to find open time:

In Day View

  1. Look for empty time slots
  2. Note hours without scheduled jobs
  3. Consider travel time between jobs

In Week View

  1. Scan each day for availability
  2. Find lighter days for new scheduling
  3. Balance workload across the week

Calendar and Time Zones

The calendar displays times in your organization's timezone:

  • Set your timezone in Settings > Organization
  • All team members see times in the same timezone
  • Google Calendar sync respects timezone settings

Mobile Calendar Access

On mobile devices:

  • Swipe to navigate dates
  • Tap jobs to view details
  • Pinch to zoom (if supported)
  • Portrait shows day view by default
  • Rotate for wider week view

Calendar Sync Status

If you've connected Google Calendar:

  • Look for sync indicators
  • Jobs show sync status
  • Sync icon may appear on synced jobs

Refreshing the Calendar

If you don't see recent changes:

  1. Pull down to refresh (mobile)
  2. Click refresh button (desktop)
  3. Navigate away and back
  4. Check internet connection

Printing Your Schedule

To print your calendar:

  1. Navigate to desired view and date range
  2. Use browser's print function (Ctrl/Cmd + P)
  3. Adjust print settings as needed
  4. Print or save as PDF

Using Calendar for Planning

Daily Planning

  1. Check Day View each morning
  2. Review scheduled jobs
  3. Note travel routes
  4. Prepare materials needed

Weekly Planning

  1. Review Week View
  2. Identify heavy/light days
  3. Schedule new jobs in gaps
  4. Plan for travel between locations

Monthly Planning

  1. Check Month View
  2. Spot busy periods
  3. Plan time off around commitments
  4. Look for scheduling trends

Calendar Best Practices

  1. Check daily - Review your schedule each morning
  2. Keep updated - Reschedule jobs promptly when plans change
  3. Leave gaps - Don't schedule back-to-back without buffer
  4. Use all views - Day for detail, Week for balance, Month for overview
  5. Sync calendars - Connect Google Calendar for unified view
  6. Filter smart - Use filters to focus on what matters

What's Not on the Calendar

The calendar shows scheduled jobs only. You won't see:

  • Unscheduled jobs (no appointment time set)
  • Completed jobs (unless you filter to include them)
  • Personal appointments (unless using Google Calendar sync)
  • Recurring invoice schedules

What Happens Next

Common Questions

Why don't I see a job on the calendar?
Only scheduled jobs (with an appointment time set) appear on the calendar. Unscheduled jobs won't show until you assign a date and time.
Can I drag and drop to reschedule?
Drag-to-reschedule is available in some views. If not supported, click the job and use Edit to change the scheduled time.
How do I sync with Google Calendar?
Go to Settings > Integrations > Google Calendar and connect your account. Scheduled jobs will sync automatically.
