Job Not Appearing on Calendar

Symptoms: You scheduled a job but it doesn't show on the calendar.

Checklist

  1. Verify schedule is set: Open the job and confirm Scheduled Start has a date and time
  2. Check date range: Navigate to the correct date on the calendar
  3. Check filters: Clear any status or team member filters
  4. Refresh: Reload the calendar page
  5. Check job status: Completed or cancelled jobs may be filtered out

Common Causes

Wrong Time Displayed

Symptoms: Job shows at incorrect time on calendar or Google Calendar.

Solutions

  1. Check timezone setting

    • Go to Settings > Organization
    • Verify your timezone is correct
    • Save if you make changes
  2. Verify job times

    • Open the job
    • Check the actual Scheduled Start/End times
    • Edit if incorrect
  3. Re-save the job

    • Open the job, click Edit
    • Make a small change or just save again
    • Check if calendar updates

Timezone Mismatches

If your computer timezone differs from your WorkSnap organization timezone:

  • WorkSnap shows times in your organization's timezone
  • Google Calendar shows times in your local timezone
  • This can cause apparent discrepancies

Cannot Set Schedule

Symptoms: Unable to save scheduled times on a job.

Solutions

  1. Check required fields

    • Ensure end time is after start time
    • Verify date format is correct
    • Fill in all required job fields
  2. Try different format

    • Use the date/time picker instead of typing
    • Select from calendar dropdown
  3. Browser issues

    • Refresh the page
    • Clear browser cache
    • Try a different browser
  4. Check internet connection

    • Ensure you're online
    • Wait and try again

Rescheduling Not Saving

Symptoms: You change the schedule but it reverts or doesn't save.

Solutions

  1. Click Save explicitly - Don't just close the page
  2. Check for errors - Look for red error messages
  3. Verify end after start - End time must be later than start time
  4. Check internet - Connection may have dropped
  5. Refresh and retry - Sometimes a page refresh helps

Google Calendar Sync Issues

Events Not Appearing in Google Calendar

Symptoms: Scheduled jobs don't show in Google Calendar.

Solutions:

  1. Verify connection

    • Go to Settings > Integrations
    • Check Google Calendar shows as connected
    • Reconnect if needed
  2. Check the right calendar

    • Confirm which Google calendar is linked
    • Look in that specific calendar
  3. Allow time for sync

    • Sync can take up to 5 minutes
    • Wait and refresh Google Calendar
  4. Job must have schedule

    • Unscheduled jobs don't sync
    • Verify job has Scheduled Start set

Duplicate Events in Google Calendar

Symptoms: Same job appears multiple times.

Solutions:

  1. Delete duplicates directly in Google Calendar
  2. The correct event will remain synced
  3. If duplicates keep appearing:
    • Disconnect Google Calendar integration
    • Delete all WorkSnap events from Google Calendar
    • Reconnect the integration

Events Not Updating

Symptoms: Changes in WorkSnap don't reflect in Google Calendar.

Solutions:

  1. Allow time - Updates can take a few minutes
  2. Check connection - Verify integration is still connected
  3. Force update - Edit and re-save the job
  4. Check Google Calendar sync - Google may have sync delays too

Events Not Deleting

Symptoms: Removed schedule but event remains in Google Calendar.

Solutions:

  1. Wait for sync to complete
  2. Manually delete the orphaned event in Google Calendar
  3. Future deletions should work normally

Cannot Connect Google Calendar

Symptoms: Connection fails during setup.

Solutions:

  1. Check Google account access

    • Ensure you're signed into correct Google account
    • Try signing out of Google and back in
  2. Grant permissions

    • When prompted, allow all requested permissions
    • WorkSnap needs calendar access to sync
  3. Try different browser

    • Popup blockers may interfere
    • Disable blockers temporarily
  4. Check Google Calendar settings

    • Ensure your Google Calendar is working
    • Try creating a test event in Google Calendar

Calendar View Issues

Calendar Not Loading

Symptoms: Calendar page is blank or stuck loading.

Solutions:

  1. Refresh the page
  2. Check internet connection
  3. Clear browser cache
  4. Try a different browser
  5. Wait a moment and try again

Calendar Showing Wrong Week/Month

Symptoms: Calendar displays unexpected date range.

Solutions:

  1. Click Today button to return to current date
  2. Use navigation arrows to move to correct period
  3. Click on specific date to jump there

Jobs Overlapping Visually

Symptoms: Multiple jobs stack or overlap on calendar.

Explanation: If jobs are scheduled at the same time, they'll appear stacked. This is normal behavior showing the conflict.

Solutions:

  1. Review overlapping jobs
  2. Reschedule one to resolve conflict
  3. Or accept the overlap if intentional (multiple team members)

Schedule Notes Issues

Notes Not Saving

Symptoms: Schedule notes disappear after saving.

Solutions:

  1. Ensure you click Save after adding notes
  2. Check character limit (if any)
  3. Avoid special characters that might cause issues
  4. Refresh and try again

Notes Not Showing

Symptoms: You added notes but can't see them.

Where to find notes:

  • In job detail view under Schedule section
  • In Google Calendar event description
  • When clicking job on calendar

Mobile Scheduling Issues

Cannot Schedule on Mobile

Symptoms: Schedule fields don't work on phone.

Solutions:

  1. Ensure you're using a supported browser
  2. Try rotating to landscape mode
  3. Use the native date/time pickers
  4. Try scheduling from desktop if mobile fails

Calendar Hard to Navigate on Mobile

Tips:

  • Use Day view for easier mobile viewing
  • Swipe left/right to change days
  • Tap jobs to see details
  • Rotate device for wider view

Conflict and Double-Booking Issues

Accidentally Double-Booked

Symptoms: Two jobs scheduled at the same time.

Solutions:

  1. Review both jobs
  2. Determine which can be moved
  3. Reschedule one job
  4. Notify affected customers
  5. Check calendar before future scheduling

No Conflict Warning

Note: WorkSnap does not automatically prevent double-booking. You must manually check your calendar before scheduling.

Prevention:

  1. Always open calendar before scheduling
  2. Check proposed time slot is free
  3. Consider travel time between jobs
  4. Leave buffer for jobs running over

Unscheduled Jobs Issues

Can't Find Unscheduled Jobs

Symptoms: You know you have unscheduled work but can't find it.

Solutions:

  1. Go to Jobs list (not calendar)
  2. Clear all filters
  3. Look for jobs without schedule indicators
  4. Sort by created date to find older jobs

Job Stuck as Unscheduled

Symptoms: You set a schedule but job still shows as unscheduled.

Solutions:

  1. Open the job and verify Scheduled Start is set
  2. The field must have both date AND time
  3. Ensure you saved after setting schedule
  4. Refresh the page and check again

Performance Issues

Calendar Loading Slowly

Symptoms: Calendar takes long time to display.

Solutions:

  1. Use a narrower date range
  2. Apply filters to reduce jobs shown
  3. Check internet connection speed
  4. Clear browser cache
  5. Try a different browser

Schedule Changes Slow to Save

Symptoms: Saving takes a long time.

Solutions:

  1. Check internet connection
  2. Wait for save to complete before navigating away
  3. Try during off-peak hours if server is busy

Limitations
